Campaign Management


Donations

As donations are made to the fundraiser, they will be logged on the Donations tab of the fundraiser. The latest donations will also be listed on the Campaign Dashboard on the bottom left of the page.

Reviewing Donations

To review donations online, just select the Donations tab and a summary will be displayed in table. This summary table list each donation all of the detailed information for that donation. Below is a list of the fields and a brief explanation.
 

Date  
The date field is the date that the donation was pledged or given. The entries in the table are reverse sorted on date, so that the latest donation is the first.

Donor

The Donor name as it was entered. If there is an email address associated to that donor, then clicking on the name will initiate an email to the donor.

Donated

This field shows the intended amount that the donor wants to give. This should be identical to the Received amount except if the donation was a pledge of some sort or if the donor failed to completed the merchant services transaction.

Received

This field shows the actual amount that was received. For Pledges, Check by Mail, and Wire Transfers the amount may be different than the Donated amount until the payment is received. Stock Transfer amounts may differ based on the value of the stock at the time of sale.

Fundraiser

This is the Campaign or Appeal that the donation was made to.

Type

Can either be online or offline.

Method

This field explains how the donation was funded. Valid values can be (Credit Card, Check, Wire Transfer, Stock Transfer or Pledge)

Status

This field provides the current status of a particular donation. Valid values are (Complete, Pending, Log Payment?)

Options

This field just has a link to the more detailed information about the donation. Selecting the ‘Details’ link will take you to a page that has the following information:

Add Offline Donations

If offline donations are received, they can be added to your givezooks Campaign so that the progress towards the goal is updated and the donor is recognized and/or thanked. To log an offline donation, select the “Enter an Offline Donation or Pledge” link at the bottom of the Campaign Dashboard or on the Donations tab. The page to enter an offline donation will display. This page is broken up into two sections:

Donor Details

The minimum information to log a donation is First Name and Last Name. If you have an email address for the donors, then adding that will allow an email ‘Thank You’ to be sent.

Donation Details

Appeals: If there are multiple Appeals for a campaign, you can select the specific Appeal that prompted the donation or if the donation was given to the general campaign, you can select ‘None’.

Date Received: The Date is defaulted to ‘Today’, but you can log the donation for previous dates if you choose.

Type: This lets you identify the donation as a pledge or donation. If it is specified as a pledge, then additional fields are required to be filled out.

Payment: This field is only visible if the donation is a pledge. If there is an initial payment accompany the pledge, then check this box.

Donation Amount: This is a required field

Donation Direction: Pick list based on the list of directed giving options. This is not a required field.

Method of Payment: This is a list based on the donation types that have been setup for this specific Campaign. If there is only one donation type, this field is defaulted to that Method.

Payment Instructions:

Donor Wall: Checking this box will display the Donor’s name on the scrolling donor wall

Name to Display: If the above box is checked, then the way the donor should be recognized is typed into this field. An example might be, if John Smith made a donation, you may choose to recognized him on the donor wall as ‘The John Smith Family’ or ‘John and Jane Smith’.

Display Amount: Checking this box will display the amount of the donation next to the Donor’s name on the scrolling donor wall

 

Send Thank You Emails to Offline Donors

Thank You emails can be automatically sent for offline donations if you have the email address of the Donor. See the above section Add Offline Donations

Log Wire and Stock Transfers

Donations that were identified as stock or wire transfers will have an option to log receipt of those funds. When logging the transaction, if the pledged amount differs from the actual received amount, you can make the adjustment. If you do adjust the amount, then the Campaign progress is adjusted accordingly. You can also choose to send an email thank you if the donor has provided their email address.

Log Pledge Payments

As payment are received for pledges made, they can be logged against the pledge and the outstanding balance will be updated. A thank you email can also be sent upon logging the receipt of pledge payment. The email will include a reference to the original amount pledged, the amount just logged and the balance outstanding.

Reporting & Analytics

Campaign at-a-Glance

Once the Campaign is launched, the Dashboard will show a summary of the Campaign progress called Campaign At-A-Glance. There is a tabular summary of the Campaign progress that includes:

  • Goal
  • Total Raised
  • Total Recieved
  • Number of Donations
  • Number of Donors
  • Average Donation

Donation Performance

This Chart provides a view of donations over time. The Bar-graph depicts the donations for each time period and the line-graph depicts the number of donors for each time period.

Cumulative Donations

This graph provides a view of total donations over time. This lets you see if there is a leveling off in donations that might prompt another round of promotional activities like an email.

 

Email Analytics

Emails that are sent to promote fundraisers can be analyzed to see:

  • Who has opened the email
  • Who has clicked through a link in the email
  • Whose email address is bad or has 'Bounced'
  • Who has unsubscribed to future emails
  • Who has received the email and then donated

Coordinating with Accounting

To provide information regarding donations to the person in charge of accounting for your organization, select the link to Export donations to a csv file. This will create a spreadsheet that can be used by accounting to ensure that they are not only tracking all of the donations, but also accounting for any directed gifts. All of the information that is displayed on the 'Details' page of an individual donation will be included in the file for all donations.


Re-solicitation

You can always send out an update or reminder to targeted subset of previous email recipients by just choosing one of the links below. By segment the subsequent email distributions, you can send out very relevant information to that specific group. An example might be to send a reminder to 'Recipients who have not donated' or 'Recipients who have viewd your site, but not donated'

Comments
