Organization Address Book

Sharing your organization's mission, stories, and images with emails is a great way to connect with supporters.

Your givezooks! account includes 10,000 Vertical Response email credits per month.

You can import contacts from a CSV file or your favorite internet email provider like Gmail, Yahoo, Hotmail or AOL. You can even tag contacts to make it easier to group or find them later.

Before You Begin

You can import many names and email addresses from the following sources.

  • a comma separated value or "CSV" file that contains, First Name, Last Name, email address, and tags (optional)
    • Note: Consult the help in your application to find out how to export a CSV file.
  • your internet email provider like Gmail, Yahoo, Hotmail or AOL

You can also manually import individual names and addresses that you have in hard copy.

Importing Contacts from a CSV file

Getting your file ready

If your contacts are stored in a desktop application, spreadsheet or a database, you can easily export a CSV (Comma Separated Values) file. Consult the help in your application to find out how to export a CSV file.

You need a file that has five (5) columns and no header. The columns are:

  • First Name
  • Last Name
  • email address
  • tags (optional)
  • CRM ID # (optional)

Importing your contacts

From the main page of your Organization Address Book, select Import Contacts under the Quick Links menu.

  1. Select the Import from CSV file tab.
  2. Select the Choose File... button and select the CSV file that you created on your computer.
  3. Select the "Upload" button. Your contacts will be displayed in the window.

Your Contacts will be displayed and you can select the ones that you want to import.

  1. You can then either select them all or a subset from the list.
  2. Select the Add to Contacts button (located at the bottom of the list of contacts) and your contacts will be imported and you will be returned to the Main page of your Organization Address Book.
Note:  Contacts will not be duplicated; if you add a contact more than once, we will  just ignore it or update it if you have added info like new tags.

Note: Duplicate addresses will not be imported.

Supported Email Providers

You can also import contacts from the most popular email providers to your givezooks! address book. These providers are AOL, MSN Hotmail, Yahoo Mail and Gmail.


Importing your Contacts

From the main page of your Organization Address Book, you can select Import Contacts under the Quick Links menu.

  1. Select the Import from Email tab.
  2. Choose your email provider from the pick list.
  3. Input you Login credentials for your email account
  4. Select the Import button and your contacts will be displayed in the window.

Your contacts will be displayed and you can select the ones that you want to import. 

  1. You can then either select them all or you could select a subset from the list.
  2. Select the Add to Contacts button (located at the bottom of the list of contacts) and your contacts will be imported.
  3. You will be returned to the Main page of your Address Book.

 

Note:  For your privacy, we never store your email login information.


Exporting Contacts from AOL

1. Go to your AOL Mail
2. Select Contacts
3. Select Tools
4. Select Export
5. Select (CSV)
6. Select Export
7. Open exported file, arrange first four columns (firstname, lastname, email, tags([optional]), delete other columns.
8. Name and Save CSV file
9. Import file to givezooks Address Book as a CSV

Adding Tags to a Contact

Tags provide a great way to organize and group contacts.  Several tags can be associated to each contact and used later to target certain segments of your supporters with specific email appeals.

  1. From the main page of your Organization Address Book, find the contact that you would like to add a tag(s) to.
  2. Select the edit icon next to the contacts name (it looks like a pencil).
  3. In the tag field add one or more tags separating each with a comma.
  4. Select the Save button to save your changes.

Deleting tags from a Contact

  1. From the main page of your Organization Address Book, find the contact that you would like to delete a tag(s) from.
  2. Select the edit icon next to the contacts name (it looks like a pencil).
  3. In the tag field delete one or more tags separating each with a comma.
  4. Select the Save button to save your changes.

Adding a contact to your address book

  1. From the main page of your Organization Address Book, you can select Add New Contact under the Quick Links menu.
  2. Fill out the information about the new contact and select the Add to Contacts button at the bottom of the page.
  3. A confirmation message at top of the page confirms that you have successfully added the contact and the fields.

All of the fields are cleared so that you can add another contact. When finished adding contacts, you can go back to the Main page of your Address Book by selecting Return to Address Book under the Options menu.

Deleting a contact

  1. From the main page of your Organization Address Book, find the contact that you would like to delete.
  2. Select the red [delete] next to the contacts name.
  3. Confirm.

Distribution Lists

Distribution Lists are a way to group contacts in your Organization Address Book to later use when sending out email requests. You can create a Distribution List by selecting from your Organization Address Book or by using Tag words assigned to each of your contacts.  In the scheme of things, tagging your contacts is more flexible and less work to maintain - our recommendation is to use tags.

Adding Distribution Lists

  1. From your Address Book select Create Distribution List.
  2. Type in a name for your Distribution List and select the Create button.
  3. Your new distribution list will be listed under the Distribution Lists and in the pull down menus.
  4. Use check boxes and pull down menus to add to Distribution Lists.

Deleting Distribution List

  1. Select the trash can icon to the right of the distribution list.

Adding Contacts to a Distribution List

From the Address Book

Check the box next to a Contact Name from the Address Book select the appropriate Distribution List from the pulldown menu.

You can also select multiple contacts to drag over to a Distribution List.

The number to the right of the Distribution List name is a counter. As you add contacts to the Distribution List, the counter will reflect the number of contacts in that list.

From Existing Tags

Drag and drop a tag from the tag cloud to the appropriate Distribution List.

All of the Contacts that have that tag associated with them will be added to the Distribution List.

Continue to add tags until you have your Distribution List set up as needed.

The number to the right of the Distribution List name is a counter. As you add contacts to the Distribution List, the counter will reflect the number of contacts in that list.

Note:  Contacts won't be duplicated in a Distribution List, so if you add a contact more than once, we will  just ignore it.


Removing Contacts from a Distribution List

  1. Start by selecting the Distribution Lists.
  2. Select the trash icon next  to the name that you want to delete.
