Setting up a Wish List


Creating and Editing the Wish List Profile

The Wish List Profile is where you set up all of the Campaign details, which are used to configure what your Supporters and Donors will see. Below is a detailed explanation of each field and how it is used.

Wish List Name


The Name that the Wish List will be publicly known as.

End Date


This date defines the end of the Wish List. It is also used to let supporters know when donations are due. To input a date, just choose it from the calendar.

Short Description


This description is a short summary of the Wish List and shows up when the Wish List is displayed in a list, as on the organization home page and Featured Fundraisers.  It's importatant to the keywords from the tags that you define below and also write it in such a way that it would make someone interested to find out more about the fundraiser.

Summary Title


An example might be - "A note from the Executive Director"

Summary


The Wish List Letter allows you to tell about the Wish List, the need, and maybe the program(s) that the items will benefit.

Type


The Type is a field that lets you classify your organization's Campaigns (e.g., Capital Campaign, Annual Fund, Alumni Appeal, or you can create your own name).

Tags


Tags are words associated with your Wish List (e.g., environment, education) that will help supporters find your campaign as they search.

Thumbnail Image


You can upload a picture or image that will be displayed with your Wish List. The image will be used in the Wish List listing and will also be the default image for the main Public Wish List page. This image is optional, but if you don't upload an image, a default logo will be displayed when the Wish List is listed.

 

Configuring the Wish List Layout

The Wish List Layout is where you configure how the Public Campaign page will appear.

Header Section


The Header section is setup once for the Organization (in the Organization Profile) and is used for all of your Organization's Fundraisers.


Main Section

The Main Section consists of two elements, Media and Note. By checking the boxes on the right these elements are either displayed or not.

Media: Is defined in the Media Section at the bottom of this page.
Note: Is the Wish List letter that you defined in the Wish List Profile.

You can also change the order that these are displayed on the page by dragging the associated boxes that represent those sections.

Sidebar Section
This controls the elements that are displayed on the right hand side of the Public Campaign page. By checking the boxes on the right these elements are either displayed or not. You can also change the order that these are displayed on the page by dragging the associated boxes on the left.

Thermometer: The thermometer displays the real-time progress towards the campaign goal.
DonorWall: Displaying the Donor Wall will allow your supporters to be recognized for donating. Donors still have the option of having their name and donation amount listed.
GetInvolved: This element has links for your Supporters to Share with a Friend and Donate or Pledge.
AboutUs: This element displays contact information for the Organization.

Media Section

The Media section allows you to upload images or link to a video or slideshow. Adding Media to your Appeal can really reinforce key messages in your appeal with a visual element.  People like to be entertained, so give them something interesting to look at that will inspire them.

Adding a Single image
Select the Single picture option in the Media Section. You can then Browse to find an image on your local computer. Finally just select upload and the image will be added to your Appeal and resized if required.
If you already have a few images uploaded, you can just drag the one that you want to the area where the current image is displayed.

Adding a Slideshow
Select the Slideshow option in the Media Section. You can then Browse to find an image on your local computer. Finally just select upload and the image will be added to your Appeal and resized if required. Continue to follow this process until you have all of the images uploaded that you want included in the slideshow.

The images will display in the slideshow in the order that you upload them.

If you want to remove an image from the slideshow, just select the X next to the file name and the image will be deleted.

Adding a Video or other slideshow
Select the Embedded video option in the Media Section. You can then paste the Embed code from your favorite photo or video site in the field. Finally just select Update and the video/slideshow will be added.

 

Setting up Giving Options


To setup giving options for a campaign, simply select the Giving tab while you are viewing a Wish List.

Configuring Acceptable Donation Types 

In this section you will be able to specify which forms of payment you would like to accept from your donors. Simply place a check mark next to each form of payment that you would like to accept. Below is an explanation of each payment type:

Credit Card

If you allow your donors to pay by Credit Card, their transactions will be processed by the merchant service processor (i.e. Paypal) that you define on the Merchant Services tab on your Nonprofit page. This option will only be enabled once you setup your merchant service provider.

Check by Mail

If you allow your donors to pay via Check by Mail, they will be able to let you know how much they are going to send you during a donation process. Once the donation process is complete, you can tell them where to send their check by configuring the Special Instructions for this payment type. In addition, you will want to include the payment address in the Thank You Email that you configure for this payment type.

Stock Transfers

If you allow your donors to pay via Stock Transfers, they will be able to let you know the approximate value of the stock that they are going to transfer to you. Once the donation process is complete, you can tell them how to transfer their stock by configuring the Special Instructions for this payment type. In addition, you will want to include the stock transfer instructions in the Thank You Email that you configure for this payment type.

Wire Transfers

If you allow your donors to pay via Wire Transfers, they will be able to let you know how much they are going to wire to you. Once the donation process is complete, you can tell them how to wire their funds by configuring the Special Instructions for this payment type. In addition, you will want to include the wire transfer instructions in the Thank You Email that you configure for this payment type.

Pledges

If you allow your donors to make pledges, they will be able to let you know how much they would like to donate over a period of time. When they make a pledge, they can even make an initial pledge payment. Once the donation process is complete, you can tell them how to make pledge payments by configuring the Special Instructions for this payment type. In addition, you will want to include the pledge payment instructions in the Thank You Email that you configure for this payment type.

Special Instructions

If you define Special Instructions for a payment type, they will be displayed to the user on the very last step of the donation process.

To configure the Special Instructions for a payment type, simply click the "Edit" or "Create" link next to the payment type that you would like to configure. If you have previously created these instructions, the link will say "Edit." If not, the link will say "Create."  Here are some Sample Instructions for the various giving types.

Make sure to click on Update after you have entered Special Instructions.

Below is an example of how you might create the Special Instructions for a "Check by Mail."

 

Creating Thank You Emails for each Donation Type

You can create thank you emails that are specific to each accepted form of payment. Some payment types require that you create two thank you emails.

One type of Thank You email (Pledged Thank You) is sent when a user promises to pay at a later date. This type of Thank You email will contain information about how to mail or transfer payment to your organization.

The second type of Thank You email (Received Thank You) is sent when payment is actually received. These thank you emails should contain verbage like "no goods or services were received..." and Tax ID numbers. Only Credit Card payments do not require you to setup a Pledged Thank You.

As an example, when a user says that they would like to pay via Check by Mail, they will get the Pledged Thank You email that is associated with Check by Mail payment type. When the organization receives the check, they will log receipt of the check, and the user will then get the Received Thank You email that is associated with the Check by Mail payment type.

Thank you emails can also contain Merge Fields. That is, you can insert placeholders into your thank you emails that will get filled in when they are sent to your donors. For instance, you can add merge fields such as {first_name}, {donation_amount}, etc. These cryptic phrases will be replaced with actual values when the Thank You emails are sent out.

To configure a Thank You email for a payment type, simply click the "Edit" or "Create" link next to the payment type that you would like to configure. If you have previously created these Thank You emails, the link will say "Edit." If not, the link will say "Create." When you create a new thank you email, you have three choices: 1) create a thank you note from scratch, 2) use a deafult email that we provide that you can edit, or 3) if you already have thank you notes in another fundraiser, you can use them as a default.



 

NOTE: You must create thank you email(s) for each payment type that you would like to accept. You will not be able to launch your Wish List until these are all created.
 

Wish List Items

Now that the Wish List has been setup, you can start adding items to the Wish List.  Each item is a directed giving opportunity for your supporters and help reinforce the impact of your Organization's programs.  By making these directed giving opportunities available to your supporters, you meet the donor's desire to affect specific programs not matter the size of the gift and it personalizes the process of giving.

Adding Items to a Wish List

There is not a limit on the number of Items that can be added to a specific Wish List, nor is there a requirement that they be defined all at one time. Adding Items can be very organic or you can choose to plan it very specifically. You can have all of the Items in place at the time you Launch the Wish List or you can stage them over time to keep the Wish List fresh and growing.

To add Items to a Wish List select the Items tab for the Wish List.

From that tab you can select the option to enable Appeals for the Campaign and also if you want the Appeals to have their own specific goals. As mentioned previously, you may want to have goals for Appeals if you are promoting a Match Challenge or Targeting specific groups and want to encourage competition between Appeals.

The next step is to define the Names of the Appeals and who will be in charge of each Appeal. You don't have to have the Appeals assigned to others, but involving others is what adds to the personalized ask. The Campaign Manager always has privilege to edit Appeals, so if Campaign Manager either wants to help out with some initial content or correct a misspelled word later, they can always do so.

New Wish List Item

The Item Profile is where you set up all of the Item details, which are used to configure what your Supporters and Donors will see. Below is a detailed explanation of each field and how it is used.


Name

The Name that the will be displayed for the Wish List Item.  It should be short but let people know what the item is.

Short Description

This description is a short summary of Item and how it will benefit the organization's work or programs.  It's important to think about how you can repeat the Tags or keywords that you define below as you write this short summary, so that they work together.

Item Description

This is more of a story than a description.  Talk about the impact that each item makes or how many it takes to address the need.  Personalize the need for this Item and don't wory about describing the features of the item unless it helps tell the story.

You may also want to talk about how you might follow-up with donors that fund specific items with things like pictures or thank-you notes from the person that benefited.

Cost per Unit

When you put in the cost for each item, make sure you include any processing,  shipping, delivery, credit card charges, etc., so that the donor knows that if they make the donation for a full item that they can expect

Unit Name

This should be a singular, one word name for the object (for instance, "wool-lined, weather proof parka" could be shortened to parka).

Quantity Desired

This is the name of the Appeal Manager if they are assigned.

Fund Code

Very optional - entering a code that you or your organization's accounting folks create may make bookeeping easier. This code will be listed in the donation reports.

Tags

Tags are words associated with your appeal (e.g., environment, education) that will help supporters find your appeal as they search.

Private

This is the amount to be raised by the Appeal is the campaign manager has allowed Appeal specific goals. There is no need to input commas, decimals, or dollar signs - we'll take care of that for you.

Thumbnail Image

You can upload a picture or image that will be displayed with your Wish List Item. The image will be used in the Item listing and will also be the default image for the main Public Wish List page. This image is optional, but if you don't upload an image, a default logo will be displayed when the Wish List is listed (the default image isn't going to be as nice as something that you choose, so upload an image that works well with the short description above - you'll be happier and your Wish List will be more successful).

Wish List Item Layout

The Wish List Item Layout is where you configure how the Public page for the Item will appear. It's just like setting up the Wish List Layout.


Preview

Select the preview icon (eye) to preview your Wish List. Note: the Wish List is not visible to others until it is launched from the Wish List dashboard.
